Are you interested in a versatile role with leadership opportunities? We’re looking to hire 2-3 professional and proactive executive assistant to support one of our top performing agents. You’ll be in charge of managing schedules, travel arrangements, event planning, managing and updating the database, some customer engagement, and creating systems and procedures so the office runs smoothly. Job seekers should love planning, organizing, being proactive, solutions focused, planning and leading projects, have inquisitive mindset, work well with others, anticipate and create systems, implement social media campaigns, develop marketing materials, and have an overall interest in playing a big role in the vision of our organization.

Job Responsibilities

  • Build, implement, and manage all systems relating to CRM, lead generation, information management, and back-office support
  • Distribute weekly/monthly market updates to clients
  • Coordinate and communicate client events and house closing parties
  • Maintain operations manual of all systems and standards
  • Oversee scheduling, including arranging accommodations and travel, managing itineraries, and setting up team meetings consultations and property showings
  • Track financial (bills, payroll, commissions, budget), client closing process and conversion
  • Schedule Buyer and Seller appointments. Prepare documents for listing, buyer Make sure basic bookkeeping duties are completed in a timely manner
  • Help develop online and printed marketing materials
  • Serve as the main contact for high-level executive
  • Help prepare meetings and take detailed minutes
  • Perform additional assigned duties from executives such as picking up orders, handling personal mail, etc.
  • Keep a consistent communication process, calm demeanor, and positive attitude with clients
  • Keep the lead agent updated daily regarding all business activities

Job Qualifications

  • High school diploma or G.E.D. required
  • Bachelor’s degree preferred
  • 3+ years of service and management experience
  • 3+ years of administrative experience
  • 2+ years of event management experience
  • 2+ years of social media/online marketing experience
  • Real estate assistant experience preferred
  • Familiar with Google Workspace and Office Suite
  • Familiar with Canva
  • Familiar with implementing social media marketing campaigns (FB, IG, TT, LI)
  • Knowledge of video and picture editing preferred
  • Knowledge of Mailchimp, Brivity, Trello or Monday, and MLS preferred
  • Accustomed to working on strict deadlines and handling confidential information
  • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills
  • Exceptional organizational and project management abilities

Job Types: Full-time, Contract

Pay: $400.00 - $800.00 per month
