ROLE: C-Level Executive Assistant
LOCATION: REMOTE
Are you a highly organized and detail-oriented professional with a passion for excellence?
DOT & Company is seeking a dynamic C-Level Executive Assistant who is an expert in the digital marketing industry. In this role, you will work closely with the CEO or Agency Directors, ensuring they can focus on strategic business activities by managing their administrative tasks efficiently.
About the role:
This is a full-time, salaried position. As a C-Level Executive Assistant, you will work closely with the CEO and/or Agency Directors, ensuring they can fully concentrate on the strategic aspects of their agency. Your primary objective is to manage all back-office tasks efficiently, acting as the executives' right hand and providing unwavering support to facilitate their success.
Key Responsibilities:
- Focus Management: Filter tasks, notifications and inquiries to maintain business owners’ focus on critical issues.
- Goal Administration: Track and manage business goals and key performance indicators, to ensure the business owner is working on most important tasks and priorities.
- Daily Task Management: Prepare and update daily priority lists and to-dos.
- Email Management: Sort, prioritize and respond to emails as required before the business owner gets to them.
- Calendar Management: Schedule meetings, and appointments, and manage calendar conflicts so the business owner is focused and not burnt out.
- Time Management: Guard business owners’ time by discerning and scheduling important engagements.
- Document Management: Organize and maintain digital documents and files.
- Travel Coordination: Plan and organize business and personal travel itineraries.
- Personal Administration: Handle personal administrative tasks as required, including appointment scheduling (book personal appointments such as massages, haircuts, etc.)
- Gift Management: Manage and coordinate the sending of gifts for business or personal occasions.
Other Potential Tasks, but not limited to:
- Strategic Outreach: Assist in outreach efforts, research potential strategic partners, and sales support activities.
- Strategic Initiatives: Assist in researching, planning, and executing strategic initiatives aimed at improving operational efficiency, cost optimization, and organizational growth.
- Sales Support: Assist in managing sales pipelines, tracking leads, and coordinating follow-up activities with potential clients.
- Policy and Procedure Development: Help develop and implement organizational policies, procedures, and best practices
- Event Planning: Organize and plan business and personal events.
What we’re looking for:
- Minimum of 2 years of experience as an Executive Assistant supporting CEOs or Company Directors.
- Extensive background in the digital marketing industry.
- Ability to effectively manage support for two executives simultaneously.
- Demonstrated proficiency in problem-solving.
- Skilled in team management or collaborative teamwork.
- Exceptional time management skills and strong multitasking abilities are essential.
- Driven, dedicated, highly organized, and professional demeanor.
- Full-time commitment (35 hours/week) in EST, PST, CST, or MST time zones.
